Annual Canvass 2023

The annual canvass of the Electoral Register is underway with the initial data matching already taken place this month. 

The annual canvass changed three years ago, to include the use of data matching the Electoral Register with National and Local information.

The results of the data matching process determine how properties are communicated with during stages of the annual canvass.  Our District results of this data matching step are below:

Where all electors registered at a property have been matched against National or Local data

Route 1

Just under 80% of the Electoral Register will be communicated via this route of enquiry

Some electors registered at a property have not been matched against National or Local data

Route 2

20% of the Electoral Register will be communicated via this route of enquiry

Care homes and Nursing Homes

Route 3

Under 1% of the Electoral Register will be communicated via this route of enquiry


The annual canvass begins on 01 July and concludes with the publishing of the revised Electoral Register on 01 December, a timeline of the various communications we will be sending to electors is below:

Send Emails to confirm if property details are correct

Residents must respond to the email to log their property details as correct or make any changes.  They can respond online, or log a “No change” response by telephone only. 

Routes 2 and 3

Send paper forms called CCB to confirm if property details are correct

w/c 17/07/2023

12,000 forms

Residents must respond to the CCB letter to log their property details as correct or make any changes.  They can respond online using the information on the form or send the form back.  You can log a “No change” response by telephone only.  The CCB is an A4 form with no prepaid return envelope (set in law).

Route 1

Send paper form called CCA to non-responding emails

Approx. 34,000 forms

Residents do not need to respond to a CCA form if there are no changes to report. The CCA is an A4 form with no prepaid return envelope (set in law).

Routes 2 and 3

 

Send out paper Canvass forms to properties that haven’t responded to the CCB form

Approx. 5,500 forms

The canvass form (and reminder) requires a response, it can be responded to online or by sending the form back.  You can log a “No change” response by telephone only.  The canvass form is a folded A3 form, sent with a prepaid return envelope.

Send out paper Canvass forms reminders to properties that haven’t responded to the CCB or previous Canvass form.

The email will be sent from elections@folkestone-hythe.gov.uk containing two security codes that identify their property.

A response can be logged with the elections team online at www.folkestone-hythe.gov.uk/respond - The website will be opened in July just before email comms have been sent out.

If a person does not have email/internet access, they will be sent a form as per the prescription set out in law.
